• Acts as the first point of contact for employees for performance management and employee relations issues
• Provide advise, counsel and resolution to managers on a broad range of employee issues including general HR issues, policy interpretation, work conditions, employee development, performance management and succession planning
• Provide guidance and support in organizational development and growth
• Supports resolution of employee relations issues and assists the Human Resources Director with investigations as necessary
• Confers with / advises management regarding interpretation of policies/processes; provides guidance to management to ensure compliance with UAE Labour Law
• Acts as a liaison between staff and management to address various situations when appropriate
• Conducts employee exit interviews to ensure proper information is captured, recorded and is available for analysis
• Follows up with employees to determine reactions to specific initiatives / actions taken; prepares documentation and analysis of employees’ comments and actions taken
• Responsible for ensuring the MIMSYS HRMIS is updated with new starter information, salary and compensation/benefits changes and maintenance
• Provides ad hoc statistical information reports, either on a weekly, monthly, quarterly and/or annual basis
• Circulates the same information via the Director, Human Resources to Senior Management as required
• Provides supervision, delegation and management, learning and development to subordinates within the HR organizational structure of the department, ensuring departmental goals and targets are met
• Provide Mimsys HRMIS ad hoc and regular reports as required
• Responsible for provision of general employee relations advise to members of staff
• Actively participates in the departmental quality improvement programmes
• Actively participates in the department programme to prepare for JCI accreditation
• Supports Nation Hospital policies and Human resources Policies and Procedures and serves as a professional role model for staff
• Assumes the role of a brand ambassador for Nation Hospital in promoting a positive image to external stakeholders
• Update the Employee’s masters list of the Human Resources Information System (HRIS) and transfers the new employee information to the employee relations section of the HRIS
• Ensures that the hard copy of Employee Personnel File is complete and compliant with JCI and HAAD requirements
• Assists in mobilization of candidates in visa processing, ticketing/transport and housing arrangement
• Coordinates new employee starting dates and processing of paperwork associated with the hiring of newly hired and transferred employees
• Maintains office supplies inventory by checking stock, to determine inventory levels; anticipating needed supplies; placing and expediting orders from materials/supplies; verifying receipt of supplies
• Responsible for maintenance of Personnel Files ensuring file and licenses required is up to date
• Responsible for staff medical insurance addition and cancellation requests and updates member list
• Assists in the implementation of HR policies and procedures which includes but not limited to monitoring of attendance and staff leaves
• Responsible in issuance of employee related request letters
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks
• Assist in the processing of the monthly payroll
• Performs other related duties incidental to the work described, directly or through delegation
• Responsible for assisting the Recruitment Team with job advertisements, interview scheduling and document collection to help with the shortlisting of candidates
• Provides overall administrative support to the Recruitment Team and maintains the new employee file system
• Collects candidate documentation at the appropriate time for qualified candidates, including documentation for licensure applications
• Coordinates new employee starting dates and processing of paperwork associated with the hiring of newly hired and transferred employees
• Update the recruitment section of the Human Resources Information System (HRIS) and transfers the new employee information to the employee relations section of the HRIS.
• Ensures that the hard copy Employee Personnel File is complete before handing over to the Employee Relations Team and is compliant with JCI and HAAD requirements
• Liaises with the Housing Coordinator regarding the assignment of housing (temporary/permanent) for the new employee
• Maintains the Employee License hard copy file, ensuring that all licenses filed are up to date
• Assists in the implementation of HR policies and procedures which includes but not limited to monitoring of attendance and staff leaves
• Develop and maintain HR databases, personnel files, and physical filing system
• Responsible in issuance of employee related requests letters
• Assist in the processing of the monthly payroll
