- Manage the recruitment and selection processes (resume screening, screening calls, etc.)
- Works closely with department and hiring managers to identify the role’s key duties and core competencies along with any educational or qualifications requirements.
- Formulate detailed job descriptions and publish open positions in various portals.
- Conduct initial screening interviews to create shortlists of qualified candidates and refer them to hiring managers for further selection.
- Arranging interviews with candidates who have been short listed for a position.
- Assist and guide the hiring managers in completing required paperwork for recruitment and replacement of staff and maintain all documentation, screening information and interview note.
- Maintain a database and save a backup of potential applicants for future job openings and participate in job fairs virtually and physically.
- Follow up with candidates throughout the hiring process and manage all hiring documents for new employees (Job Offer, employment contract, and employment documents)
- Undertake all onboarding process to ensure smoothly joining of new employees (system-Papers)
- Generate and track monthly update report of manpower plan and hiring status to ensure closing the open roles with qualified candidates.
- Work closely with marketing department to develop creative ways for addressing talent acquisition challenges.
Reporting to HRBP.
+ Communicate with depts. head and recruitment team to cover and fill the current vacancies.
+ Consult the On-Boarding team to ensure all joining formalities are completed and ensure that the new joiners receive the required documents, tools and resources on time.
+ Conduct HR orientation and induction for newly hired employees.
+ Develop and update HR induction pack to give complete understanding of the company structure, policies and procedures.
+ Manage the summer training.
+ Follow up with Line Managers for the completion of probation periods for new employees.
+ Maintain the work structure by updating job requirements and ensure to communicate all job descriptions to employees as per policy and regulations.
+ Generate the organization charts and keep it up to date, ensure the org structure changing and reporting in line with cost center and org units in SAP system.
+ Responsible to maintain the accuracy of employee’s master data and ensure the update reflect in SAP system on a monthly basis.
+ Provide the comprehensive reports and data analysis to senior management of hiring, on boarding, off boarding and employee relations cases.
+ Ensure smooth implantation of SOP’s (Standard Operating Procedures) of HR & Admin.
+ Support in the process of EOSB and follow up with Admin for issuing their final exit tickets.
+ Address all ER cases to minimize employee’s dissatisfaction and assist management to take grievances & disciplinary actions.
+ Follow up and keep track of employee’s engagement surveys, employees annually/quarterly performance reviews, evaluations and reward & recognition Program.
+ Extend the support in manpower planning and budgeting.
Reporting to HRBP.

+ Manage the trackers of hiring, on-boarding and off-boarding, keep it updated with accurate information, and share with line managers for any feedback.
+ Manage the on-boarding process, from business end, to ensure that the new joiners receive the required tools/resources etc., on time.
+ Participate in the delivery of HR orientation and inductions on regular basis for new hires in that provides comprehensive information of the company structure, policies and procedures.
+ Follow up with Line Managers for the completion of probation periods for new employees.
+ Address all ER cases to minimize employees dissatisfaction and assist management to take grievances & disciplinary actions.

Assisting in performing personnel functions under personnel section and other related administrative duties or tasks as directed by Administration Manager when needed in order to assure work stability and continuity.
Air Tickets Booking, Hotel Reservations and Visa Services;
+ Arrangement of airlines reservations, tickets issuance and hotel bookings for employees on vacations, business trips or for the visitors to the company.
+ To facilitate necessary services for visitors and employees on business trips.
+ Arrangement of visa services if required for top managements, employees and visitors and ensure the correct data in submitted applications with requirements.
+ Liaise with the application Centers, Travel agents and applicants.
+ Maintain and balance the visa expenses and submit reports to concerned departments.
Medical Insurance Services:
To issue medical insurance cards for employees and visitors if needed, coordinate between personnel and accounts section for reimbursement of the medical bills of employees and if required, check the CCHI confirmation.
Preparation of Monthly / Yearly Reports:
+ Coordinate payments of tickets and hotel bills under agreement with company.
+ Coordinate externally to get yearly policy quotations from insurance or broker companies.
+ Preparation of comparison reports for medical insurance quotation and services, hotel and travel agents offers.
+ Preparing HRD monthly reports, quarterly and annually.
+ To make sure all records pertaining personnel expenses are updated and easily retrievable.
Issuance of Company Correspondence Letters:
In every letters related to the HR Management, it is also inline in my work to do such task as part being a HR-Personnel Coordinator.
+ Plan and organize the daily work schedule.
+ Keep the management informed by submitting activities and results reports, such as daily call reports, weekly work plans, and monthly and annual territory analysis.
+ Recommend changes in products, service, and policies by evaluating customer's reviews.
+ Arrange a schedule of visits to major potential buyers by contacting people and making appointments.
+ Establish customers' needs, explain the products to them, and provide the descriptions on how they may be used.
+ Monitor competition by gathering current marketplace information on pricing, new products, delivery schedules, merchandising techniques, etc
+ Resolve customer complaints by investigating problems; developing solutions; preparing reports; making recommendations to management.
