• Preparing the daily mail (sending & receiving) for the director of HR & administration department.
• Following-up the daily email, typing and drafting letters.
• Preparing decision with the help of legal advisor.
• Coordinating with the other departments and other branches, regarding HR policies and procedures.
• Arranging business trips for High management in university such as (Vice presidents, department directors, …etc.), which includes (hotel, flight tickets, & transportation).
• Responsible for HR and Purchasing committees, which includes preparing the agenda, taking minutes, follow up the committee’s decision, and issuing letters.
• Responsible for the ticketing system in the university, which include contacting the travel agency for flight booking and issuing, issuing purchasing order and receiving the invoices.
• Sometimes, I prepare contracts and job offers for the new candidate, according to the instruction of the HR manger.
I do the arrangements of the exam board for three times a year, where I do necessary booking of flight tickets & hotel reservations, communicate with different bodies for meeting preparations such as rooms, IT support.
I am fast at typing documents in both Arabic and English languages, dealing with corresponding, especially on email (outlook), and draft letters and I also set dates on the calendar.
I am responsible for two committees where I set the date and time of the meeting, inviting the members, provide them with the necessary documents, taking minutes and do follow-up
my job includes all kind of secretary tasks
translating commercial and lawful texts, corresponding letters, and certificates.
translating from english to arabic and from arabic to english different kind of text such as legal - commerical etc..
