• To manage the ongoing recruitment and selection processes, ensuring that QM attracts and hires quality external candidates; to ensure successful implementation of effective recruitment and selection policies that support the organization in meeting its strategic objectives in line with operating procedures
• Plan and monitor the external job market for both Qataris and non Qataris ensuring a sufficient flow of fresh external talent
• Review existing and emerging employment legislation to ensure recruitment and selection programs comply
• Produce recruitment progress reports tracking each vacancy as well as ad hoc management reports as required
• Source, monitor and screen CVs received in line with selection criteria’s that support QMA in attracting and hiring quality staff from the external job market
• Prepares short list of candidates for Management approval and arranges notifications for unsuccessful candidates, providing feedback if requested
• Support in the interview process, provides guidance and training on competency-based behavioral interviewing
• Arrange for assessments/interviews for candidates in various positions
• Prepare all the necessary information/documentation to place calls to candidates regarding assessment and/or interview process; follows up where necessary
• Ensure the vacancy list and assessment results database are monitored and maintained to accurately reflect the organization’s recruitment position
• Head Hunting
• Design and manage effective internal and external recruitment advertising campaigns using a wide range of media appropriate for the role
• Manages relationships with external recruitment agencies and newspapers in order to attract ideal candidates for positions and reduce the lead time to fill the vacancy
• Ensure application forms from job seekers are filled out appropriately, sent to relevant department for consideration and saved on the appropriate system
• Meet with Directors/Heads to update the recruitment stages
• Prepare the recruitment weekly report
• Arranges for offers of employment and accompanying terms and conditions to be sent to successful candidates, negotiate offers
• Ensures all pre-joining documents are signed and pre-joining instructions/welcome letter sent, Induction presented
• Other Recruitment Coordinator duties as deemed necessary
Handling Database, such as: entering new CV`s, altering received one with missing information, doing the searches within the database for the new open positions
Assisting Recruitment Officers with searching of new candidates and running pre-screening process
Trip arrangement (tickets and hotel bookings) for the candidates selected for Interview
Organizing the mobilization of new recruits, arranging flights/hotel bookings and coordinated for airport pickup/accommodation.
Arrange long term residences for the newcomers
Coordinating with the PRO team for business/work visa/transfer of sponsorship processes
Issue medical/CID/Work Permit letters for locally hired employees;
Follow up on final reports and to make sure that all new recruits went through proper hiring procedure and completed company requirements
Brief to the recruits on pre joining formalities and answered queries on company policies and procedures at all stages of the pre joining processes
Collection of required joining documents, ensure that all the Selected Candidates’ necessary documents are available prior starting date. Preparing employee file for submission to the HR - Administration via ERP system
Assisting new employees with various issues within HR responsibilities/duties
Process hotel/ticket/Recruitment agency invoices related to the recruitment and follow up until payment is agreed by the finance department.
Preparing Recruitment agency agreements
Handling Monthly Recruitment report - preparing, updating and submitting to Recruitment Manager and CAO
Establish and develop a close working relationship with all HR & Admin Managers & their subordinates
Preparation for overseas campaigns
Formatting CV`s in Corporate standard template, etc.
Coordinate all office functions: staffing, training, personnel, supplies, equipment maintenance, repairs and renovations
Develops departmental communications; maintains and updates departmental files, attendance and databases
Execute and monitor of all regular purchasing duties, preparation of contract between the supplier / contractor and the company
Maintain complete updated purchasing records/data and pricing in the system
Coordinate with user departments and suppliers in the purchasing scope of work for projects assigned
Assist in managing and following up overseas orders. Coordinated equipment shipments and movements in collaboration with logistics staff
Handle and monitor all claims to factories and vendors for defects, shortage, missing parts.
Support relevant departments with quotations for the purpose of tenders.
Responsible for the preparation/process purchase orders and tender documents in accordance with company policies and procedures.
Monitor and coordinate deliveries of items between suppliers to ensure that all items are delivered to site/store on time.
Source, select and negotiate for the best purchase package in terms of quality, price, terms, deliveries and services with suppliers.
Managed inventory of equipment and parts
Prepare documents to put out tenders, supervising and coordinating the work of contractors and monitor achievement of agreed service levels to lead to improvement
Run monthly hotel inventory and yearly for auditors
